The Captain's Club · Effective 23 October 2026
In the United Arab Emirates, The Captain's Club ("the Club", "we") operates through Captain Boats & Ships Trading L.L.C. This policy covers our website thecaptainsclub.ae, the member portal and The Captain's Club apps. Contact: [email protected].
1. What we collect
We collect what you give us when you contact us, join, or use the portal or app, and the records created when you book and sail:
- Website enquiries: name, email, mobile, city, company, preferred contact time and message from our contact and waiting-list forms.
- Identity and contact details: name, email, mobile, date of birth, nationality and gender.
- Documents: copies of your identity documents and a personal photograph, and your boating licence records.
- Payment details: payment and bank details. For cards we keep only the last four digits.
- Your contract: the contract and the evidence of your electronic signature.
- Trips: bookings and trip records, including signatures and incident reports.
- Messages: support requests and other messages to us.
- Device and website use: sign-in and device details, your IP address and the approximate location worked out from it, the pages you visit and what you click, the ad or link that brought you to us, and recordings of how our pages are used with anything you type hidden.
- Other people: details you give us about passengers, companions, your spouse or additional driver, or a friend you refer. You confirm you may share them and have told them about this policy.
2. Why we use it
- To answer your enquiries and run your membership and bookings.
- To verify your identity and eligibility, and to obtain boating licences, marina access and sailing permits.
- To meet legal, safety and authority requirements.
- To take payments and collect dues.
- To support you and keep your account secure.
- To understand how our website is used and improve it.
- To send you news and offers, and to show our ads to you and to people with similar interests, and measure how they perform.
3. Cookies
We and our analytics and advertising partners use cookies and similar technologies to run the website, remember your country choice, understand how the site is used and measure our advertising. We remember how you first and most recently reached us for up to 90 days. You can block or delete cookies in your browser settings.
4. Automated checks
Uploaded documents are read automatically. The face on your identity documents is compared automatically with your personal photograph, to confirm they are yours. Documents that pass may be approved without staff review; those that do not are reviewed by staff. We keep only the result of each comparison. If you disagree with an automated result, contact Support and a member of staff will review it.
5. Who receives it
We do not sell personal data. We share it only as needed:
- Authorities and partners: licensing and government authorities, the coast guard and border authorities, marina operators and insurers.
- Payments: banks and payment providers.
- Service providers acting on our behalf: hosting, email, app notifications, document reading, face comparison, website analytics and system monitoring.
- Anyone else the law requires.
Each of these must protect your data to at least the standard of this policy.
Advertising partners, such as Google and Meta, receive information about your visits to our website. We may also share your contact details with them in a hashed (coded) form, so they can show our ads to you or to people with similar interests and measure how our ads perform. They handle it under their own privacy policies.
6. Where it is stored
Our systems are hosted in India. Some service providers process data in the United States and the European Union. We protect your data with access controls and encryption wherever it is processed.
7. How long we keep it
We keep your data for as long as your membership lasts, or for as long as we need it to handle your enquiry. After that, we keep it for as long as we need to meet our legal, accounting and regulatory obligations or to handle legal claims. Then we delete or anonymise it.
8. Your rights
Under the data protection law of the United Arab Emirates, you may ask:
- to access or receive a copy of your data;
- to correct it;
- to delete it where we are not required to keep it;
- to restrict or object to how we use it, including automated decisions and advertising;
- to withdraw your consent.
You can stop marketing messages at any time with the link in any marketing email, and ask us to stop using your details for advertising by contacting us.
Make requests through Support in the app or by email to [email protected]. You may also complain to the data protection authority in the United Arab Emirates.
If you withdraw consent to something your membership depends on, such as identity checks, the membership may not be able to continue.
9. Changes
We publish any change on this page with a new effective date.
